Navigating the Out-of-Home Placement Plan in SSIS and AgileApps
Welcome to this video on navigating the Out-of-Home Placement Plan in SSIS and AgileApps. The Out-of-Home Placement Plan, or OHPP, is moving to AgileApps, a web-based low code platform designed to make your documentation faster and more intuitive. Because it's web-based, you won't have to deal with the performance issues sometimes found in SSIS, and updates to this application can be made instantly without waiting for quarterly SSIS releases. Let's go ahead and dive right in.
Before we get started, it is important to remember that AgileApps does not have an automated interface with SSIS. To ensure your data is accurate for audits and to prevent repository errors, you must manually tie the two systems together. This means you will still perform setup tasks in SSIS before completing the full plan in AgileApps. We will go over this in more detail soon.
Setting up the OHPP in SSIS
Let us begin with initiating the Out-of-Home Placement Plan setup in SSIS. Open the Out-of-Home Placement Plan setup tab from the Service Plan Action menu by right clicking on Service Plans in the tree view, then selecting New Service Plan. When the setup opens to the right, choose the document template titled Out-of-Home Placement Plan Setup Only AA. Complete all required fields of data entry on the bottom half of the screen.
From the setup tab, you need to gather two critical pieces of information to take over to AgileApps. First, you'll need the SSIS Person number. The SSIS Person number can be found in the Child section. Then we need to locate the placement location ID. The placement location ID can be found under the Placement section. Note that the Placement location ID will only appear if you select yes to the question: “Does the agency have financial responsibility for the placement?”
Now let's head to the browser with Agile Apps open and look at how to create the plan.
Setting up the OHPP in AgileApps
To start a new plan, click the “+Create” button in the top blue ribbon. Select Out-of-Home Placement Plan from the drop down menu, then click the arrow to the right of the drop down. You will land on the Basic Information tab. This is the brain of your document where you will enter pertinent startup information. This is the tab where you must enter the SSIS person number and Placement location ID to show correlation between the systems. Here is a side by side of SSIS and AgileApps to ensure numbers aren't mistyped.
Additional selections on this tab, like choosing between child or youth for the "Is this Out-of-Home Placement for a child or youth" will determine which tabs appear and how the final document prints. If necessary, you can select addendums such as those for QRTP or Parenting Youth on the upper left column of the Basic Information tab to make those specific sections appear in the plan.
Agile Apps is intuitive, allowing you to use the tab key to move between questions. However, there is no auto save feature. Get into the habit of clicking save frequently once all the required information has been entered. If you attempt to tab over a required field, it will turn red, indicating that this field must have data prior to saving. If you try to save the page without entering information in required fields, a screen warning will appear that says "Error, please correct the errors on the form." If you try to leave the page with unsaved changes, a warning will appear that reads, "You have unsaved changes on this page. If you navigate away from this page, the changes will be lost." Click Cancel and save your work. If you select OK, your progress will be lost.
Once you've completed the basic information tab, navigate through the plan by selecting the tabs along the top and filling out the corresponding information. After saving the Out-of-Home Placement Plan, you can move on to print it out.
Printing the OHPP in AgileApps
There are three key points to remember when printing the Out-of-Home Placement Plan. AgileApps works well with any browser except Internet Explorer. We recommend Google Chrome for best interactivity. Remember to set your margins one time per template to prevent distortion. Addendums will print separately.
To print the Out-of-Home Placement Plan, you will select the three dots next to the Save button and select Print, then make a selection from the drop down menu in the print dialog box. For example, choosing full template will print the entire Out-of-Home Placement Plan. If the youth in placement has an independent living plan, you may select Template with ILP. For printing the independent living plan alone, simply select Independent Living Plan. Addendums do not print with the Out-of-Home Placement Plan. They must be printed separately.
To set your margins, click the down arrow to the right of More Options. Enter your preferred margins in the top, bottom, left, and right fields by entering a value or using the up and down arrows along the right of each field. If you forget to set margins, the document printout will appear distorted. Once printed, remember to then store a copy of the Out-of-Home Placement Plan by following your agency's protocol.
Next, we'll look at how to get the Out-of-Home Placement Plan number and activate the plan.
Activating the OHPP
Once the plan is ready, you need the AgileApp's Out-of-Home Placement Plan number found in your Out-of-Home Placement Plan list. Copy this number back into the corresponding SSIS service plan setup. When the plan is signed or court ordered, change the status in both systems to active. Make sure to add an active date in AgileApps. With the plan set up and activated in both systems, we'll move on to look at some other features.
Additional Features
To save time in agile apps, you can copy an existing Out-of-Home Placement Plan, for example, for a sibling, or simply to create a new plan after a review period. You can create a copy by clicking the three dots in the upper right corner. AgileApps will assign a new Out-of-Home Placement Plan number. You must ensure that a corresponding Out-of-Home Placement Plan Setup only AA template is created in SSIS. You must also diligently review every tab to ensure the information is relevant and current.
Finally, if you're stuck and need guidance, help text is built into the Agile App's application. To access the help text, navigate to the dashboard option along the left menu and select Help Text in the top ribbon. Then select the link to the desired information from the grid.
