What is Time Entry Transformation?

    Time Entry Transformation is an effort by DCYF and MNIT to redesign the interface and backend components of the SSIS system that are specific to the ability for all users to enter or update time record information and case notes for Contact/Activity tracking as well as agency time sheet information when no Contact/Activity is associated (which includes admin and payroll activities).  We are creating a completely new and separate web application that will connect with existing SSIS databases.   We are not redesigning the screens in the existing SSIS system, and we are not changing functionality with the funding or reimbursement processes currently. 

    Our goals are to improve the user experience, provide a mobile solution that can be used in the field, incorporate automatic saving capabilities, improve the performance and reliability for accessing the new time entry module and create a more efficient experience for all caseworkers to improve face-to-face time with those that need our services. 

    Why is Time Entry Transformation important?

    Time Entry Transformation is an effort to provide immediate value to the end users of SSIS by improving the user experience, providing a mobile solution that can be used in the field, incorporating automatic saving capabilities, improving the performance and reliability for accessing the new time entry web app and ultimately creating a more efficient experience for all caseworkers to improve face-to-face time with those that need our services.    

    In addition, the effort is teaching DCYF and MNIT to work in more modern and efficient ways incorporating elements of the product management discipline, using data to drive our decisions, evaluating our work based on the impact to outcomes, incorporating human centered design and working closely with our partners at every step, using agile delivery methods to reduce risks and provide value faster and incorporating modern technologies and processes such as continuous integration and continuous delivery (CI/CD). These efforts to work in new ways will help prepare DCYF and MNIT for the larger SSIS modernization and redesign efforts that will be coming. 

    How will I be impacted by the Time Entry Transformation effort?

    Multiple groups of users began trying out the new app in September 2025, the rollout will be staggered so that we can properly validate the new system with a certain number of users before we add the next group Exact groups and timing have not yet been determined but we will provide updates in the future, and you will have advance notice and the proper training materials before you are asked to participate  Participation will be optional but encouraged and our hope is to provide an improved experience that users will want to use over the existing system. 

    The new Time Entry Transformation app will be available on a unique URL and accessible from a web browser on your desktop, phone or tablet.  You will log in using your current credentials and select the appropriate database for your work.  The overall functionality of time entry for Contact/Activity tracking will remain the same as it is today, however, based on user research, our usability testing and modern web user interface tools, we hope to incorporate many small improvements that create efficiencies and make it easier for you to record your time and case notes.    

    Training and other aids to help you get started will be made available to each group prior to rollout. The existing SSIS system and functionality to record your time for Contact/Activity tracking will remain available so you will have the choice of which version you want to use.  We will be soliciting your feedback all along the way to ensure the new system is meeting your needs and checking if there are other potential enhancements that we can make to improve the experience.  Both systems will be sharing the same databases so any updates for time entry in one system will be visible and available in the other system. 

    Unfortunately, because there is such a substantial difference between the technologies used with the existing SSIS system and this new web application, we may not be able to make the two systems work together seamlessly so you will likely need to switch over the existing SSIS system and log in as usual to access other functionality and documentation related to your case.   

    When will the new Time Entry Transformation web app be available?

    The State-wide rollout of the web app has occurred. Speak with your manager and check your email for more information on how to access the web app.

    How can I learn more?

    Please make sure you are signed up for our newsletter so you can receive regular updates on progress and how can you help us evaluate it.   Check this site, EngagementHQ often, as it will be our main location to provide updates, solicit your input and conduct interactive sessions.  We will also be working closely with the SSIS Mentor/Coordinator group and supervisors to keep them informed of our progress.

    There are multiple ways you can provide feedback or ask questions about this effort. There is the Questions section of this site, there’s the Suggestions section of this site and there are contacts listed if you would like to send in a question or provide your input. 

    Why can’t I copy/paste my notes into the Note field from an application like Microsoft OneNote?

    When you copy and paste text from Microsoft OneNote into a web app, it often doesn’t work the way you expect because OneNote adds a lot of “hidden formatting” in the background. Even if the text looks normal, it carries extra code for spacing, fonts, colors, and layout. When you paste that into a plain text field on a website, the web app can’t read that hidden formatting correctly, so the text may break, look strange, or not save right.

     It’s also safer and more secure to type your information directly into the web application instead of copying it from somewhere else. When you copy from OneNote, a version of your notes may stay stored in an unprotected location on your device or cloud account. Entering information directly into the web app helps make sure your data is stored only in the secure system it’s meant for. As always, it’s best to consult with your agency’s IT Department on the security rules for the applications you use.
